Sending E-mails on Submit (Automation)

This tutorial explains how to send e-mails (to yourself or to respondents) using the form's data

You can use the Weavely plugin to send e-mails once a form has been submitted. Moreover, you can customise the e-mails with the form's data.

Creating an "Email Notification" Automation

You can find this functionality under the Automation menu. Just click "+Add Automation" and "Email Notification", as shown in the gif below.

It is important to note that you can create multiple such automations. For example, to send one e-mail to the respondent and another to yourself upon submission.

Configuring You E-mail Automation

Configuring your e-mail automation is a four-step process:

  1. Name: enables you to easily find and edit the automation later on.
  2. To: should contain the recipients' e-mail addresses. If there are multiple recipients you should separate their addresses with a comma (,)
  3. Subject: is the e-mail's subject.
  4. Message Content: is the e-mail's actual content.

What Data Can your Email Contain?

You can choose to use "static" data in your e-mail (e.g. a single hard-coded e-mail address in the To field). You can also use data from the actual form in the e-mail. By typing "{{" in one of the fields mentioned above you'll be presented with a menu of all relevant form elements that could be inserted. For example, in the gif below we specify that the e-mail should be sent to whatever the respondent answered in a form element called Email:

Moreover, if you want the content of your e-mail to contain all of the form's data elements you can either pick these one by one using "{{" or use the shortcut "{{*}}". The later will automatically add all the form elements to your e-mail's content.
